Conference Coverage Playbook: Position Maps for Multi-Phone Event Recording

How do you map phone positions for conference coverage?

Make a conference camera map around the speaker's movement, the audience, and the room's access routes. Each position should have a useful role and a clear operator responsibility.

Put it into practice

  1. Walk the room with the organizer and mark the stage, screen, aisles, outlets, and restricted areas. Confirm what presentations and attendees may be recorded.
  2. Place a stable wide safety camera and a closer speaker view without blocking sightlines. Add another role only when it gives genuinely useful coverage and the plan supports it.
  3. Rehearse the speaker moving across the stage and taking a question. Test connection, slide readability, sound, and recording duration from the actual positions.

Assign a useful role to each location

Sketch the stage, audience, doors and speaker's likely movement. Give every camera position a role and an operator responsibility. Keep access routes usable and confirm the venue approves the arrangement before equipment is fixed in place.

Rehearse a speaker moving between marked positions and inspect obstructions. Use the map to resolve coverage gaps before increasing camera count or relying on an untested remote position.

  • Map movement and access
  • Assign operator responsibilities
  • Test likely obstructions

Questions creators ask

What should each camera position record?

Assign a specific job such as speaker context or a readable demonstration. Mark movement boundaries so operators know what their frame must preserve.

What should the operator handoff include?

Share the camera role, recording window, sound plan and fallback. Check the supported session setup before assigning coverage that the plan or venue cannot sustain.

A mistake to avoid

A camera map drawn without testing the room can leave the speaker walking outside every close frame.

Before the full take

Identify the story, access permissions, and essential coverage before arriving. Rehearse sound and equipment with the actual operators, preserve original media, and verify context before publishing an edit.

Record a short test, review the picture and sound, then adjust the setup. A rehearsal on your actual devices is the quickest way to check whether the workflow fits the scene.
